Job Description

This position provides administrative support to multiple ministries, allowing the area to function effectively. The Area Administrator supports multiple staff and volunteers across 3 ministries. The candidate can be part-time or full-time with benefits under special circumstances. The majority of the work can be done from home; weekly team meetings and other events are held in person. Essential duties include written and verbal communication such as answering correspondence, preparing mailings, answering emails and phone calls professionally, creating club/event postcards, flyers, newsletters, sending prayer emails, monthly updates, donor emails, maintaining the area website, sending thank-you letters to donors, interacting and supporting staff, volunteers, campers, teens, parents, and donors. The role involves processing and tracking donations, maintaining donor and leader databases, managing monthly expenses and budgets including area bank account records, FDT, area and staff expense reports, accounting tasks like paying bills, submitting bank account records/purchase card expenses and donations, evaluating financial monthly status, updating FDT monthly. Maintaining contact databases including donor database, club card data, parent database, newsletter recipient list, banquet invitation list, and email distribution lists. Human resource support for Regional Administrators. Event administration including coordinating area meetings, camp participation tracking, payments, health forms, fundraising marketing support, camp brochures, communication with camp regarding contracts and housing. Banquet/Golf Marathon/Auction tasks include creating invitations, sponsor packets, tracking guest lists, RSVPs, donations, coordinating with table hosts, mailing invitations, sending thank you notes, and tracking sponsors. Providing or assisting with training to area office assistant, area directors, area committee, volunteer team leaders, and leaders on field administration processes and applications. Working conditions are office environment. Education required is high school or equivalent, associates degree preferred, ongoing education encouraged. Experience preferred includes previous administrative assistant experience, typing 55-60 wpm with few errors, proficiency in Microsoft Office Suite or Google, strong organizational skills, good grammar and communication skills, ability to maintain confidentiality, basic accounting skills, detail-oriented multi-tasking ability, relational skills with kids and adults, initiative in developing processes/systems, and great customer service skills.
