The Legal Assistant will provide entry-level administrative and legal support across our firm’s footprint, assisting with case file management, document preparation, scheduling, and client coordination. This is a great opportunity for someone with 6+ months of legal or clerical experience who is looking to gain hands-on experience in a fast-paced, team-oriented law firm environment.

The ideal candidate will be detail-oriented, eager to learn, and capable of handling a variety of legal administrative tasks with professionalism and accuracy. They will demonstrate strong communication skills, maintain confidentiality, and be comfortable working both independently and as part of a collaborative team. A proactive attitude and the ability to stay organized while managing multiple priorities will be key to succeeding in this role.

Overall Responsibilities:

  • Provide general administrative support such as scanning, copying, printing, and saving documents to our document management system.
  • Assist with preparing, formatting, proofreading, and editing legal documents including correspondence, pleadings, discovery requests/responses, subpoenas, and motions.
  • Help with the electronic filing of documents in State and Federal Courts (training provided).
  • Maintain electronic files and organize incoming/outgoing legal documents.
  • Process expense reports, check requests, and assist with large mailings and document distributions.
  • Schedule meetings, depositions, and court appearances; coordinate with internal and external parties as needed.
  • Assist with typing dictation and creating/sending electronic file links to clients, counsel, and vendors.
  • Enter and update data in firm databases, tracking case information and deadlines.
  • Follow office workflow procedures and contribute to ongoing team projects.
  • Provide overflow support to other attorneys or departments when needed.

Qualifications:

  • 6+ months of administrative, clerical, or legal experience (law firm experience preferred).
  • Must be able to work in the office five days per week.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); ability to learn new systems and software quickly.
  • Strong keyboarding and data entry skills.
  • Excellent attention to detail, organization, and time management.
  • Strong verbal and written communication skills.
  • Ability to work independently as well as collaboratively in a team environment.
  • Comfortable working under deadlines and maintaining flexibility to meet firm needs.
  • Associate’s degree or coursework in legal studies a plus but not required.

Salary is commensurate with experience and skill set. Position offers benefits, including health, life, short-term and long-term disability, as well as 401k, flexible work, and paid time off.

For New York City Applicants: Salary range: $18.00 - $27.00/hr. ($37,440.00 - $56,160.00), plus may be eligible for an annual discretionary bonus. The anticipated salary range is for candidates who will work in New York City. The salary offered to a successful candidate will depend upon the individual’s skills, experience, qualifications, and other job-related factors permitted by law. Gerber Ciano Kelly Brady, LLP, is a multi-state employer, and this salary range may not reflect positions that work only in other states.
