Job Description

Title: Rental Office Manager

Location: Marin County (Onsite)

Hours: 8:30am - 5:00pm

Compensation: $80,000 - $100,000

A Rental Office Manager who plays a key role in managing the leasing process, supporting day-to-day property operations, and serving as the primary liaison to residential tenants. This position demands exceptional customer service, attention to detail, and the ability to balance administrative, legal, and operational responsibilities in a dynamic multi-family rental environment.

We’re seeking a proactive, energetic, and detail-oriented professional who excels in tenant relations, communicates clearly and professionally, and maintains confidentiality at all times.

What you'll be doing:

  • Maximize occupancy across the portfolio through effective leasing strategies and targeted marketing efforts (e.g., Zillow, apartment listing platforms).
  • Manage leasing lifecycle: show units, process applications, and prepare lease documents.
  • Perform market rent assessments and provide recommendations for pricing and annual rent increases.
  • Maintain and update leasing metrics and generate regular reports (e.g., lease length, move-out reasons).
  • Manage the prospective tenant waitlist with support from internal team members.
  • Oversee sales efforts and property tours.
  • Prepare and maintain comprehensive rental application packets and forms.
  • Conduct introductory calls with incoming residents and coordinate move-in logistics.
  • Inspect property grounds and units regularly to ensure operational standards are upheld.
  • Respond promptly and professionally to resident service requests and coordinate with maintenance or appropriate departments as needed.
  • Assist with resolving resident concerns and document issues for review by the Property Administrator and management.
  • Record and track rent payments accurately in Excel and Yardi.
  • Manage distribution of community access items (e.g., pool keys).
  • Maintain accurate and up-to-date scheduling via Outlook.
  • Support special projects and carry out other duties as assigned by the Property Administrator or leadership.
  • Ensure compliance with company policies, procedures, and ethical standards in all work-related activities.

What you bring:

Education & Experience:

  • Bachelor’s degree preferred or equivalent combination of education and experience.
  • Experience in high-volume, multi-family property management or military housing considered a strong asset.
  • Familiarity with legal aspects of lease administration is essential.

Computer Skills:

  • Proficiency in Microsoft Excel, Word, Outlook, and Windows OS.
  • Experience with Yardi property management software preferred.
  • Ability to quickly adapt to new software and systems.

Preferred Certifications:

  • Coursework or certification from the California Apartment Association is a plus.
